Our blog today is about why you don’t have to use the hotel’s A/V company

Many of our current customers never knew they could bring their own audio visual provider into their hotel meeting room rentals until they started working with us. But you can and it’s often to your advantage

Bringing in your own audio visual provider can save you thousands on your audio visual spend.

More and more companies are holding meeting planners accountable for expenses. Budgets across the board at all size companies have been tightened in modern America. The in house A/V company the usually holds an “exclusive” or “preferred” position which hurts competition and thus prices and sometimes quality.  

If you have multiple meetings and room rentals across the country you should be able to realize savings by using a provider who can provide consistency on-site, one-point of contact and flat rate pricing in every venue your events are at.  What our clients have found especially nice is their presenter have a familiarity with the equipment and our sound engineers know the presenters – this leads to better produced and more efficient programs

Why does the venue want me to use the hotel audio visual company?

Some venues will make commission of between 10 and 50% when booking audio visual services through the in house a/v company. If you bring in your provider they can’t contract the work out and thus they don’t get the commission. However they make more money from food, beverage and hotel meeting room rentals than audio visual, so removing the clause that restricts working with your choice of provider is easy to do. If you’re a meeting provider you’ve probably already paid $7 per soft drink or $4 per coffee so you’ve done more than your part of helping keeping the hotel afloat!

Contracting an outside audio visual provider makes you the top priority.

Hotel audio visual providers are often responsible for multiple events happening in the same hotel or venue. This means you may not get their full attention.  By bringing in an outside audio visual provider of your choice, that company is there for one reason and one reason only – you.  


The bottom line is when it’s your event and your money, you should choose who works with you.

We've been very busy lately here at Sullivan and Gregory!  Two weeks ago, we worked an event for the O'Gara Coach Company, LA's premier dealer for high end cars like Aston Martin, Rolls-Royce, Bentley, Lamborghini, Bugatti and Maserati.  The host for the evening was Christopher Reid - Kid from Kid and Play!  You can follow him on twitter @kidfromkidnplay and I highly suggest you do because the guy is hysterical.  

After that event, we loaded up and loaded out and headed to Grapevine for another Apexus 340B University at the Embassy Suites Bass Pro Shop hotel.  The two day event really went well and it was great to see some old friends from Dallas!
